Visitor self check-in
Streamline your visitor management with the Kisi self check-in form. Visitors check in upon arrival by filling out the form on a dedicated device or by scanning a QR code on their own mobile devices.
- User-Friendly Interface: Visitors can register quickly using accessible terminals or mobile-friendly QR codes, reducing the need for assistance.

- Personalized Communications: Customize your check-in process with branded instructions and logos for a tailored visitor experience.
To display the self check-in form on a dedicated device, you have two options:
- Kisi Kiosk Pro: a purpose-built device that runs the self check-in form and prints visitor badges automatically to a connected label printer.
- Your own tablet: pin the self check-in form as a PWA on any iOS or Android tablet you already own. Badge printing requires connecting a printer manually.
Activate the self check-in form
Before starting the configuration, create a Team of users who should be allowed as hosts. This can be a single Team for all locations or separate Teams per location. To keep the host list up to date, you can set up a SCIM provisioning for automatic updates. Learn more about Kisi Teams and SCIM provisioning.
- Sign in to Kisi with your organization admin account
- On your organization dashboard, navigate to Visitor Management
- Click on Self Check-In
- Click Configure Integration and specify the Location Name
- Under Add Hosts, select the Team of users who should be shown as hosts at this location.
- Under Add Visit Reason, define possible reasons for a visit (e.g., "Interview," "Delivery," etc.).
- Click Add logo and upload your company’s logo, which will be displayed on the registration form.
- Enable the Print Badge setting if you want visitor badges to be printed at check-in. See Print visitor badges below for setup details.
- Click Save.
- Return to Self-Check-In and share the link to the self check-in form:
- Copy the registration link and share it via email or your preferred messaging tool.
- Alternatively, download the QR code and place it in a visible area at your reception so visitors can easily scan it with their mobile device.
Add multiple locations
The self check-in form supports multiple locations per organization. Each location can have its own separate list of allowed hosts (including SAML sync if included in the pricing plan), visit reasons, configurable fields, and branding. Note that NDA agreements are shared across all locations. To add a new location:
- Click Self-Check-In button in the Visitor Management app.
- Click Add Location next to the Location Name field.
- Configure the settings for the new location and click Save
- Switch between locations by clicking Select Location
- Download a separate QR code or copy a registration link to share with visitors for each location.
Accept Non-Disclosure Agreement (NDA)
You can upload a PDF file with an NDA (Non-Disclosure Agreement) or any other document you'd like visitors to read and accept before checking in.
- Navigating to the Agreements tab in the self check-in settings (Self-Check-In > Settings > Agreements).
- Once uploaded, visitors will not be able to complete check-in without accepting the NDA.
- Only one active NDA version can be in use per organization at a time. If your NDA agreement changes, you can upload a new version.
- The visitor management log tracks and displays which NDA version each visitor has accepted, and this information can be exported as a CSV file.
- You can review the history of uploaded NDA versions at the Agreements tab.
- If you don’t want to use the NDA in certain locations, you can disable the “Accept NDA” toggle in the location’s settings page (Self-Check-In > Settings > Configure).
Print visitor badges
Visitor badges are printed at the moment of check-in and include the visitor's name, date, and reason for the visit.
- Kisi Kiosk Pro: badge printing is part of the bundle. Once the Print Badge setting is enabled and a Brother label printer is connected to the Kisi Kiosk Pro, badges print automatically when a visitor completes check-in. No manual steps are needed. See Kiosk setup and enrollment for setup.
- Your own tablet: connect a printer to the tablet, enable the Print Badge setting, and print manually from the browser each time a visitor checks in:
- Connect your printer to the tablet and print any document from the browser to confirm it is working.
- In Kisi, navigate to Self-Check-In > Settings and enable Print Badge.
- Open the self check-in form link and check in a test visitor.
- A badge preview will appear on screen. Click Print and select your printer.
This is not the same as the Badge Printer add-on, which generates PDF employee badges for download. The self check-in badge printing is specifically for printing visitor badges at the point of check-in.
Add custom visitor instructions
You can now automatically communicate with visitors and share arrival instructions, even if you’re not granting them door access.
- Click the Self-Check-In button in the Visitor Management app.
- Navigate to Settings > Instructions.
- Add arrival instructions, such as location, required documents, and self check-in requirements.
- Click Save.
Once configured, these instructions will be automatically sent to visitors invited from the Visitor Management dashboard. The email will be sent whether you grant door access in advance or simply log the visitor without an access invite.
Accessing the Visitor Management app as a non-admin user
Admin users can share access to the app with non-admins when it needs to be used by team members who don’t have full admin rights.
To share access:
- Sign in as an organization administrator.
- Go to the app and click Manage User Access in the top-right menu.
- Add the users you want to grant access to and click Save.
Once granted, the app will appear in their navigation, and they’ll be able to use it without needing full admin rights.
